Template Library
Permissions: All Admin, Project Manager, and Project Member roles can access the Template Library.
Your subscription Template Library is easily accessible from the ProjectDeck Homepage by clicking on the Template Library tab. The Template Library serves as the central repository for your templates, offering efficient management and accessibility.
When there are no templates created, the Template Library appears as shown below.
Once one or more templates have been created, the Template Library takes on a populated appearance, as illustrated in the image below.
All ProjectDeck Grid functions are available, including search, filter, sort, and group capabilities.
Which Templates are in the Template Library?
Permissions: All Admins can access all subscription templates. Project Managers can access Lifecycle Templates and their own Project Templates. Project Members can access their own Project Templates.
Different roles have varying levels of access to templates within the Template Library, as indicated by their respective permissions. The types of templates accessible to different roles are:
- Lifecycle Templates: These templates are created by Lifecycle Admins and are exclusively deployable to and recallable from lifecycles.
- Project Templates: Project Managers and Project Members can create and manage these templates, which are deployable and recallable within their own projects only.
Creating A New Template
Permissions: Lifecycle Admins, Project Managers, and Project Members can create new templates.
To create a new template, simply click on + New Template, which will grant you access to the Template Designer page.
After designing and saving your new template, it will be added to the Template Library grid for future use.
Web Library
Permissions: Lifecycle Admins, Project Managers, and Project Members can access the web library.
The Web Library button provides access to templates pre-designed by the ProjectDeck team. The image below demonstrates the control that opens when you click the Web Library button.
Within the Web Library, you can navigate different management systems to access templates categorised by broad themes. You can then select one or more templates and click the Add Templates button to incorporate them into your subscription’s Template Library. Alternatively, you can click Close or Cancel to exit the action without making changes.
Deploying Templates
Permissions: Lifecycle Admin roles can deploy Lifecycle Templates to any lifecycle. Project Managers and Project Members can deploy their own Project Templates to their own projects.
Templates must be deployed for project users to access them. There are two deployment methods:
- Lifecycle Deployment: Performed by Lifecycle Admins, this involves deploying a Lifecycle Template to one or more lifecycles. When a lifecycle deployment occurs, all projects under that lifecycle gain access to the template.
- Project Deployment: Project Managers and Project Members can deploy their Project Templates to one or more of their projects. In this case, only the selected project(s) gain access to the template.
To deploy templates, select one or more templates from the templates grid. The context menu above the grid will then change, allowing you to click the Deploy button.
The deployment control will open, enabling you to choose the lifecycles or projects to which you want to deploy the selected templates. Click Deploy to confirm your choices, or click Close or Cancel to exit the action without making changes.
Recalling Templates
Permissions: Lifecycle Admin roles can recall Lifecycle Templates from any lifecycle. Project Managers and Project Members can recall their own Project Templates from their own projects.
Recalling templates follows a similar process to deployment. Select one or more templates from the Templates Grid, and the context menu will change, revealing the Recall button.
Click Recall to open the recall control, where you can specify the lifecycles or projects from which you wish to recall the selected templates. Confirm your choices by clicking Recall again, or exit the process by clicking Close or Cancel.
Duplicate Template
Permissions: Lifecycle Admins, Project Managers, and Project Members can duplicate templates.
Duplicating a template is straightforward. Select a single template from the grid and click the Duplicate button.
The template will be duplicated, with “(copy)” appended to the original template name, and can be used and edited like any other template. Duplicates have no ongoing connection to the original template.
Duplicating a Project Template as a Lifecycle Admin will change it to a Lifecycle Template, and duplicating a Lifecycle Template as a Project Manager or Project Member will change it to a Project Template. If you have both Lifecycle Admin and Project Manager/Project Member roles, ProjectDeck will prompt you to specify the type of template you want to create.
Delete Template
Permissions: A Lifecycle Admin can delete any template. A Project Manager or Project Member can delete their own Project Templates.
Deleting a template can be done by selecting a single template in the template grid or from within the Template Designer. Upon clicking the Delete button, a confirmation control will open. Confirm by clicking Delete a second time, to proceed with deletion, or cancel the process by clicking Close or Cancel.
Note: Deleting a template does not delete forms previously created from that template.
Rename Template
Permissions: A Lifecycle Admin can rename any Lifecycle Template. A Project Manager or Project Member can rename their own Project Templates.
To rename a template, double-click on the template name within the template grid. Inline editing will allow you to modify the template name.
Confirm the change by pressing ENTER or clicking away from the editing field. You can cancel the name change by pressing ESC.
